Your Digital File

At our firm, we use OneDrive to store your data and documents in a digital folder, avoiding physical files as much as possible. With secure access to your folder, you as the owner always have access to your data and documents and can view and save them whenever required.

In order to exchange documents with us, you can also access a specific folder where you can upload, modify or directly delete documents. As explained in section 3, this folder is used to receive documents. Once they have been archived, they will disappear from this folder and appear in the corresponding folder.

For example, if you upload accounting documents to this folder, on the filing deadline date all documents will be archived in the corresponding quarterly or monthly folder within the Accounting Management folder.

Security of shared folders in OneDrive

Shared folders in OneDrive provide a high level of security to protect stored information and ensure controlled access for authorised users. The main reasons why these folders are secure are the following:

1. Individual access control: OneDrive allows precise definition of who can access a shared folder. Users can be granted specific permissions, either read-only access or editing rights, preventing unauthorised access.

2. Authentication and identity verification: Microsoft uses Multi-Factor Authentication (MFA) as an additional security layer. Users must verify their identity through codes sent to trusted devices, significantly reducing the risk of unauthorised access. In our case, you can access your folder either by signing in or by using a code sent to your email address every time you access the folder. In both cases, unauthorised access is prevented, meaning that someone who has the link to your folder cannot access it unless you provide them with the access code.

3. Encryption of data during transfer and storage: All files stored in OneDrive are protected with advanced encryption. During data transmission, the TLS protocol (Transport Layer Security) is used to prevent interception attempts. In addition, stored data is encrypted using AES-256, one of the most secure encryption standards available.

4. Activity logging and monitoring: OneDrive provides detailed logs showing who has accessed, modified or deleted files in shared folders. This allows administrators to monitor suspicious activity and take preventive measures.

5. Protection against threats and data recovery: Microsoft Defender and other Microsoft security solutions detect and block malware or unauthorised access in real time. Furthermore, OneDrive allows the recovery of previous file versions in the event of a ransomware attack or accidental deletion.

The correct use of systems such as OneDrive therefore provides a very high level of security for document exchange, which is why we generally recommend this method over other alternatives (email, post, fax).
